Sell a pass

Offer access over a period, with a maximum number of sessions per day, on one or more simulator types.

The pass has no number of uses: it gives access to the simulators until its end date, up to a number of sessions per day. It is the product for regulars and monthly memberships.

Create the pass

Open the form

In NEXUS, open Products, click New product, then choose Pass in Product type.

Describe the pass

FieldWhat to enter
Product nameFor example Monthly pass.
Simulator typesOne or more types. The pass is accepted on all the simulators of these types.
Price incl. taxThe price of the pass.
Session duration (min)The duration of each session, in whole minutes.

Set the number of sessions per day

In Sessions per day:

  • Every day: a single Daily maximum, from 1 to 99. 3 by default.
  • Per day: a maximum for each day, from 0 to 99. 0 closes the pass that day, for example to keep the weekend for other customers.

The total is shown on the right (21 sessions max. / week). The Create button stays grayed out as long as no day allows at least one session.

Set the validity

In Validity, choose Duration (the pass is valid N days after purchase) or End date (all passes expire on the same day, at midnight center time). For a monthly pass, Duration set to 30 days is the usual setting.

Set up the sale and create

Set Visible on the booking page and Availability calendar, then click Create.

Result

The pass appears in Products with the type Pass, and the Uses column shows the daily maximum (3 / day). On the booking page, it is listed under the Pass tab, with the number of sessions per day and its validity (3 sessions / day · Valid 30 days). If the days differ, the customer can open See details to read the maximum for each day.

A pass covering several simulator types appears under each of these types, with the note On followed by the list of types.

What the customer receives

An email with a QR code, which shows for example Pass • 3 sessions per day • 30 min and the end-of-validity date. The daily maximum is fixed at the time of purchase: changing the product afterwards changes nothing for passes already sold.

At the simulator, during the game, the banner shows the time remaining and the session's rank in the day (Today's session: 2/3).

When a session counts

A session counts toward the day's maximum when it is played to the end.

  • If the player stops before the end, their remaining time is kept and the session does not count yet. It will count when they have finished this remaining time, on the day they resume it.
  • Re-scanning the QR code to lock or unlock the simulator does not count.
  • The counter resets at midnight, center time. A session counts for the day it was scanned, even if it ends after midnight.

Remaining time kept from one day to the next runs into the new day's maximum: if that maximum is already reached, or at 0, the simulator refuses the pass, remaining time included.

Hand over a pass at the front desk

As for a booklet: QR Codes › Create ticket, Single ticket format, then choose the pass. See Hand over a booklet at the front desk. You can change the validity there, but not the number of sessions per day, which comes from the product.

Good to know

  • The number of passes on sale can be capped in Settings › Booking, Products on sale at the same time block, Passes row.
  • In the QR Codes list, a pass shows the PASS badge, and the Uses column shows its daily maximum.
